Convention, workshops and networking: a multi-format event in central Milan for AGICAP
AGICAP, a cash flow management software company whose Milan office sits just around the corner from the Piazza Duomo, came to us needing a full-day corporate event in the city during the week of 15th June. The wish list was substantial: a theatre-style auditorium for 150 people, exhibition space, a registration area and a cloakroom, plus two or three breakout rooms for simultaneous workshops and an outdoor or covered terrace for drinks at the end of the day. They also wanted dedicated demo stations for hands-on sessions, taking their cues from a similar event their parent company had recently run in Paris.

We knew from the outset that this event needed a venue with genuine wow factor and we found it in one of Milan's grandest historic addresses, right on Piazza Duomo. The moment that confirmed we'd made the right call came during an early site visit, when we brought AGICAP's European Marketing Manager up to the Salone della Torre terrace and watched her jaw drop at the view of the Duomo stretching out below. From there, the brief practically wrote itself. We mapped out the spaces to keep the day flowing naturally: the Sala Colonne for the main plenary, the Donzelli, Suite 2 and Parlamentino rooms for the breakout workshops, the Loggiato for the evening drinks reception and the Galleria Passi Perduti for catering. Every room had its own dedicated AV setup, featuring projectors, screens and radio microphones, and we handled registration and cloakroom across the whole venue. What made this project particularly demanding was how much it kept changing: the date shifted at least three times, and guest numbers jumped from 100 to 200 with just a week to go, triggering a complete rethink of the room layouts and a switch in catering style, from a self-serve buffet to full waiter service. On top of that, AGICAP's international footprint meant display materials and branded kit arriving from overseas, with shipping deadlines and installation windows that had to be choreographed down to the hour. None of it would have come together without the brilliant support of the wider team, who stepped up at every turn.

On the day, everything clicked. The plenary, workshops and demo sessions ran back-to-back without a hitch, and the overall atmosphere was exactly what AGICAP had hoped for — professional, energetic and genuinely enjoyable. The client was delighted with every aspect of the delivery, from the AV quality to the food and service. With so many international attendees in the room — and most conversations happening in English — it had the feel of a proper global gathering, and the feedback reflected that. There was one moment behind the scenes that summed up what good event management is really about: the catering supplier arrived without water. Our team spotted it immediately, quietly sourced enough bottles to cover the entire event and had everything sorted before a single guest noticed. AGICAP never knew it had happened — and that's exactly how it should be.
